Schengen visa file: which question does each document answer?
The document list varies by country and by purpose of application. What does not vary is which questions the documents have to answer. Building the file around those questions is safer than memorising a list.
Article 32 of the Visa Code lists the cases in which an application is to be refused. If your file is built to satisfy each criterion in that article, the documents support one another. In brief, the criteria are: the purpose and conditions of the trip, sufficient means for the stay and the return, valid travel medical insurance, the reliability of documents and statements, and the intention to leave the country before the visa expires.
What documents are read together in the file?
Passport and form alone do not explain your travel. Flight and accommodation dates, travel health insurance, work or student status, permission letter, bank transactions and who will cover the expenses must show the same plan. The supporting document scheme is different for employee, company owner, freelancer, retiree, student, sponsored person and child.
There is no single “guaranteed balance” figure. The actual cost of the trip, regular income, current liabilities and source of money are evaluated together. Instead of unexplained last-minute money inflows, a consistent financing plan whose source can be shown should be established.
Four questions, four sets of documents
Why are you travelling?
The declared purpose and the documents must tell the same story. For a tourist plan, the route and the accommodation; for a family visit, the invitation and the relationship; for a business visit, the corporate letter and the content of the activity must show the same dates. The purpose is a choice that cannot be changed at the centre once the appointment has been booked.
Who bears the cost, and how?
The answer to the question of whether you are travelling on your own means or with a sponsor must be the same throughout the file. In a sponsored application, the sponsor's financial documents explain who bears the cost, while the applicant's own documents explain their economic and social situation. Neither replaces the other.
How is the health risk covered?
The validity, cover and duration of the travel medical insurance must match the stay applied for. A policy shorter than the stay counts as a missing document.
Why will you return?
No single document answers this question. Employment or study ties, family situation, property, regular income and the lawful use of earlier trips are read together. “I bought a return ticket” does not close this question on its own.
Consistency of the file: the detail most often missed
Documents can contradict each other even when each one is correct on its own. A date of entry on the form that differs from the flight date, accommodation shorter than the stay, or leave dates that do not cover the trip are of this kind. Before submitting the file, all dates should be compared on a single calendar.
The document list itself is specific to the country and the category. The current checklist on the official application channel of the country you apply to is what counts; the official channel for all 29 countries is listed here you can see.
Niche questions and answers
Is the document list the same in all Schengen countries?
The common framework is the same, but category-specific checklists vary by country. The current list on the official channel of the country applied to is what counts.
If my hotel reservation can be cancelled, will the file be weakened?
The compatibility of the reservation with the actual travel plan, its validity on the application date and the expense order are important. Fake reservations or reservations that disappear immediately after application should not be used.
Will the high amount deposited into the account in the last week be a problem?
alone is not a reason for automatic rejection; but if the source of the funding cannot be disclosed, it can weaken the funding narrative. The source of salary, sales, family support or savings must be clearly documented.
Should I provide my own bank account if my sponsor partner?
Sponsor's financial documents provide evidence of relationship and expense assumption. Documents showing the applicant's own economic and social situation may also explain the return ties of the file.
Does it strengthen the file to get a refunded ticket?
Non-refundable purchase does not create a right to a visa decision. If the official order accepts reservations, it is better not to create financial risks without getting the result.
What should I do if there are different dates in documents?
The form must show the same travel plan with flight, accommodation, permit and insurance dates. If there is a real change, it should be announced and the documents updated before the application.
